Article I:NAME OF THE ORGANIZATION
The name of this nonprofit organization shall be the Egg Harbor Township
High School Band Boosters, Inc., and may be cited as the EHTHS Band
Boosters.
Article II:PURPOSE
The purpose of the Band Boosters is to support the Egg Harbor Township
High School Marching Band and all it's related affiliates. Related
affiliates include, but are not limited to the Jazz Band, Indoor Guard,
Percussion Ensemble, Concert Band, String Ensemble, and Orchestra.
Article III:MEMBERSHIP
A. Any adult at least 18 years of age, willing to subscribe to the
purpose and bylaws of the EHTHS Band Boosters, and not excluded under
Section E of this Article, shall be eligible for regular membership. Such a
person shall become a regular member upon payment in advance of the full
amount of annual dues.
B. The annual dues shall be five dollars and shall be payable on or
before June 1 of each year.
C The right to vote is limited to regular members who are in compliance
with Sections A and B of this Article.
D. Those members who joined the organization in 1983-84 school year are
Honorary Members and as such are welcome to participate in the activities of
the EHTHS Band Boosters.
E. The instructional staff of the Egg Harbor Township Marching Band and
its affiliates are Honorary Members of the EHTHS Band Boosters and are not
eligible for regular membership during their tenure as staff.
Article IV:OFFICERS AND DUTIES
A. The officers of the EHTHS Band Boosters shall be a president, 3
vice-presidents, a recording secretary, a corresponding secretary, and a
treasurer. Two or more persons may run as co-officers for the office of
vice-president, recording secretary, corresponding secretary, and
treasurer. Both names shall appear on a single line on the ballot, and for
election purposes the two or more persons shall be considered as a single
candidate.
B. Nominations will be held at the January regular meeting. Elections
of officers will be held at the February regular meeting. The term of
office of the newly elected officers shall commence with the adjournment of
the February regular meeting and shall end the next year at the adjournment
of the February regular meeting.
C. Only regular members in good standing may serve as officers.
D. The officers shall perform the duties described in the parliamentary
authority and these bylaws.
1. The duties of the president shall include:
a. To preside over all meetings of the EHTHS Band Boosters;
b. To preside over all meetings of the executive committee;
c. To appoint the chairpersons of standing and special committees;
d. To serve as an ex-officio member of standing committees;
e. To act as a liaison between the EHTHS Band Boosters and the EHTHS
Administration.
2. The duties of the First vice-president (Communications) shall include:
a. To assume the duties of the president in the president's absence;
b. To serve as an ex-officio member of the Membership committee;
c. To be responsible for the preparation of a monthly newsletter;
d. To be responsible for the establishment and maintenance of a ‘Phone
Chain’ system of communication with all band parents.
3. The duties of the Second vice-president (Events) shall include:
a. To serve as an ex-officio member of all committees for events
sponsored by the EHTHS Band Boosters including, but not limited to, Field
show competitions, Craft Shows, Awards Banquets, etc.;
b. To assist the President in recruiting and retaining Event
Committee Chairpersons;
c. To serve as an ex-officio member of the Ways & Means committee.
3. The duties of the Third vice-president (Field Show Operations)
shall include:
a. To serve as a liaison between the EHTHS Band Boosters and the
Band Director in matters concerning the Band Director’s needs of manpower
and materials to assemble, transport, and perform the Marching Band’s Field
show;
b. To establish and maintain an inventory listing of physical assets
belonging to the EHTHS Band Boosters;
c. To serve as an ex-officio member of the Audit committee.
3. The duties of the recording secretary shall include:
a. To record and maintain the minutes of all meetings of the EHTHS
Band Boosters and all executive committee meetings;
b. To maintain accurate copies of EHTHS Band Booster correspondence;
c. To maintain a roster of the membership;
d. To take attendance at all meetings.
4. The duties of the corresponding secretary shall include:
a. To notify all band members and parents of meetings, special
events, and cancellations, in coordination with the First vice-president;
b. To handle all incoming and outgoing correspondence.
5. The duties of the treasurer shall include:
a. To handle all funds and financial transactions of the EHTHS Band
Boosters;
b. To maintain accurate records of all funds and financial
transactions;
c. To present a financial report monthly to the membership;
d. To make all records available for audit when requested by the
Audit committee or the principal of Egg Harbor Township High School.
Article V:COMMITTEES
A. Executive Committee
1. Shall consist of elected officers, the Band Director, and the
Ways & Means and Membership Committee chairpersons. The Band Director
shall serve in a non-voting, advisory capacity only;
2. Shall meet monthly;
3. Shall plan and recommend the various activities of the EHTHS Band
Boosters;
4. Shall be empowered to make decisions and take actions between
meetings of the EHTHS Band Boosters, subject to approval by the general
membership;
5. Shall have exclusive authority to incur financial responsibility
for the EHTHS Band Boosters between meetings of the EHTHS Band Boosters,
subject to approval by the general membership;
6. Minutes of the executive committee meetings shall be available to
the general membership.
B. Standing Committees:
1. The standing committees shall consist of the Membership Committee
and the Ways and Means Committee. The chairpersons of these committees
should be appointed by the June regular meeting of the EHTHS Band Boosters.
2. Membership Committee: The purpose of the membership committee is
to promote membership among band parents, the EHT High School, and the
community.
3. Ways and Means Committee: The purpose of the ways and means
committee is to provide fund raising activities, in compliance with EHT
High School policy, to support the Egg Harbor Township High School Marching
Band and it's related affiliates.
C. Select Committees:
1. Audit Committee: The purpose of the audit committee is to
conduct an annual audit of the funds and financial records of the EHTHS
Band Boosters, and to present their findings to the general membership at
the May regular membership meeting. The committee shall consist of three
regular members who are not officers.
Article VI:MEETINGS
A. Regular meetings of the EHTHS Band Boosters will be held monthly
on a date determined by the executive committee.
B. A special meeting may be held upon the call of the president or on
the written request of any ten members. The purpose of the meeting shall
be set forth in the notice of the meeting.
C. No notice other than announcement at the prior regular meeting
shall be required for a regular meeting. Notice of a special meeting shall
be given at least eight days in advance.
Article VII:PARLIAMENTARY AUTHORITY
The rules contained in Robert's Rules of Order (Modern Edition, 1989)
shall govern the EHTHS Band Boosters in all cases where they are not
inconsistent with these bylaws and any special rules the EHTHS Band
Boosters may adopt.
Article VIII:AMENDMENTS
These bylaws may be amended at any regular or special meeting of the
EHTHS Band Boosters by a two-thirds vote, provided that previous notice of
the amendment was given to all members at least eight days in advance.
